Privacy Policy — Lasting Frames

Lasting Frames is a trading name of Leevoke Ltd, a company registered in England and Wales (company number 14471622) with its registered office at 13 Foundry Lane, Copford, Colchester, Essex, United Kingdom, CO6 1BH.

2. The data we collect

We collect and process the following personal data:

Enquiry and booking data — when you submit an enquiry through our website or book our services, we collect your name, email address, phone number, event date, venue and any details you provide about your event.

Photographs and video — as a photography and event experience company, we capture images and footage of clients and their guests at events we are hired to cover. This includes photographs used for instant printing, digital photo galleries and our AI portrait experiences.

Website and device data — when you visit lastingframes.com, we collect technical data such as your IP address, browser type and pages visited, through cookies and similar technologies (see section 5).

3. How we use your data

We use your personal data to:

  • Respond to enquiries and provide quotes
  • Deliver our services, including photography, printing, digital galleries, AI portrait experiences and videography
  • Manage bookings, contracts and payments
  • Communicate with you before, during and after your event
  • Improve our website and advertise our services (see section 5)

4. Lawful bases

Under UK GDPR, we rely on the following lawful bases:

  • Contract — to deliver the services you have booked with us
  • Consent — for marketing use of your photographs (see section 6), and for non-essential cookies and advertising tracking
  • Legitimate interests — to respond to enquiries, operate and improve our business, and capture photography of guests at events where we have been hired, in line with the expectations set by the event host
  • Legal obligation — to keep records required for tax and accounting purposes

5. Cookies and advertising

Our website uses cookies. Essential cookies are required for the site to function. Non-essential cookies, including the Meta Pixel, are only set if you accept them via our cookie banner. The Meta Pixel allows us to measure the effectiveness of our advertising and show relevant ads on Meta platforms (Facebook and Instagram). You can withdraw your consent at any time by adjusting your cookie preferences or clearing your browser cookies.

6. Photographs and marketing use

We ask every client in writing whether they are happy for us to keep and use photographs from their event for marketing purposes, such as our portfolio, website, social media and advertising. We only use event photographs in marketing where this written consent has been given. You can withdraw this consent at any time by contacting us at hello@lastingframes.com, and we will remove the images from future marketing use.

7. AI portrait experiences

Our AI portrait service uses photographs taken at your event to create stylised, cinematic portraits. Images are processed securely through our platform provider, Snappic, for the sole purpose of creating your portraits and delivering them to you. They are not used to train AI models and are not shared for any other purpose.

8. Who we share your data with

We share personal data only where necessary to deliver our services, with:

  • Our website and form hosting provider (Webflow)
  • Snappic, the platform we use to deliver digital photo galleries and create AI portrait experiences
  • Meta Platforms, for advertising measurement, where you have consented to advertising cookies
  • Our accountants and payment providers, for billing and record-keeping

We do not sell your personal data. Where providers are located outside the UK, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses.

9. How long we keep your data

Enquiry data is kept for up to 12 months if you do not proceed to a booking. Booking and contract records are kept for six years in line with legal and accounting requirements. Event photographs and galleries are retained for 12 months after your event, after which they are deleted unless you have given written consent for marketing use.

10. Your rights

Under UK GDPR you have the right to access, correct, delete or restrict the use of your personal data, to object to processing, to data portability, and to withdraw consent at any time. To exercise any of these rights, email hello@lastingframes.com. We will respond within one month.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be available on our website with the date of the most recent update.
